You are required to wear your official Vectra AI SKO name badge at all sponsored group events. Collect yours at registration.

A block of hotel rooms has been reserved for Vectra AI at the Hotel Arts Barcelona. If you have special circumstances or requests, note them during online travel registration.

In-room wireless is included in the nightly rate. Instructions will be provided at check-in. WiFi is also available in all meeting spaces.

Included: Vectra AI has prepaid gratuities for all staff at Vectra-sponsored group functions.

Not included: Maid services, bell staff, room service, restaurant servers, bartenders at non-group meals. Pay at your discretion per Corporate Travel & Expense Policy.

Smoking is not permitted in guest rooms or public areas. Designated outdoor areas only. Non-adherence fees are your responsibility.

All SKO travel arrangements (both domestic and international) must be booked through Navan. Please follow the link in your confirmation email after registration and look for the SKO pop up.

No other travel booked in NAVAN will be accepted.

Check your country's government travel website to see if a travel visa is required for Spain/EU entry. Indicate your visa requirements during registration.

Arrival: Please arrive by 5:00 PM on Sunday, 8th March. Welcome Reception starts at 7:00 PM.

Departure (EMEA): Depart Hotel Arts anytime after 12:15 PM on Wednesday, 11th March.

You are responsible for airport transport arrangements. Hotel shuttles will be provided at select times.

Approximate taxi cost: €30 from Barcelona Airport (may be expensed to Vectra AI)

Meals expensable: While traveling to/from the event, or on non-program dates.

Meals included at SKO (cannot be expensed):

• Sunday: Welcome Reception Dinner
• Monday: Breakfast, Lunch, Snacks, Dinner
• Tuesday: Breakfast, Lunch, Snacks, Dinner
• Wednesday: Breakfast, Lunch (TBC)

Indicate your requirements in the "Special Meal Requests" section during registration.

Gluten-free, vegetarian, and food allergies are accommodated in main selections. Kosher or halal needs will have special arrangements made on your behalf.

Covered by Vectra AI: Nights of March 8th, 9th, 10th (checkout March 11th)

Your responsibility:

• Additional room nights (must be approved by SKO registration team)
• Hotel incidental charges (settle at checkout, cannot expense to Vectra AI)
• Non-business/personal extensions

No. Companions, spouses, and children are not included and will not be allowed to attend any part of the conference or activities.

• Submit all cancellation requests in writing to the registration team
• Flight cancellations: contact Navan directly
• Hotel cancellations: notify registration team (4+ business days before arrival to avoid penalty)
• Important: Cancelling registration does NOT automatically cancel hotel/air bookings. You must notify both separately.
• Cancellation fees cannot be expensed to Vectra AI
